BC Libraries Cooperative Support Advisory – Email Notifications Not Going Through to Some Domains

Due to a misconfiguration of the DNS settings on our email notifications server some email notifications generated from Evergreen did not go through to patrons. The configuration has been fixed and we expect all notifications should be working as expected by end of day today.

Email notifications sent between Thursday June 9th and end of day today to users with @mymts.net and @shaw.ca email addresses are known to be affected. There may be other email domains affected as well.

We recommend checking items on your holds shelf and contacting patrons with @mymts.net and @shaw.ca emails as they will not have gotten the hold ready for pick up notification.

We apologize for any inconvenience this has caused and have taken steps to ensure it doesn't happen in the future.

BC Libraries Cooperative Advisory - Feedback Needed on New Patron Account Design

The Evergreen community is seeking feedback on the updated design of the patron summary in the new angular circulation module. The new angular circulation module will eventually replace the existing circulation module and bring a uniform look and more consistent functionality across the Evergreen staff client.

Co-op Support is asking staff who use the circulation module to take a look at the new patron summary on the Sitka training server and provide feedback to help ensure that the final design will be usable for staff that regularly interact with the patron account interface.

To test the new patron summary:

  1. Go to training1.catalogue.libraries.coop/eg/staff
  2. Register a workstation to Maple Public Library (MPL). Credentials can be found here - https://bc.libraries.coop/docs/sitka-training-server-access/ (You must be logged into bc.libraries.coop to view this page.)
  3. Once logged into MPL on the training server, go to Circulation (Experimental) → Search for Patrons and find a patron
  4. Look at the patron summary and design of the patron account. Try out some circulation workflows. Exercises and test barcodes for the training server can be found here - https://bc.libraries.coop/support/sitka/training-server/
  5. Create a ticket with the subject Patron Summary and send us your feedback before July 31st. We'll summarize the feedback we get and report back to the Evergreen community.

The experimental circulation module is not enabled on the live server and will not be included in our October upgrade. There is still significant work to be done and bugs to be resolved before it'll be ready.

The primary database server for Sitka's Evergreen has been successfully upgraded to Postgres 17.

There are no changes to any Evergreen functionality.

BC Libraries Cooperative Advisory - Reshelving Status Interval Now Customizable

Co-op Support is pleased to announce that libraries now have the ability to change how long items have the status of Reshelving before being automatically updated to Available.

Previously Evergreen checked Reshelving items once a night and updated items that had been Reshelving for 24 hours or longer. Evergreen now checks Reshelving items hourly and updates items that have been Reshelving for longer than the interval specified in the library setting "Change reshelving status interval".

The Sitka default for the library setting "Change reshelving status interval" is 1 day (or 24 hours). Libraries that continue to use this default should see no change in behaviour.

Libraries wishing to shorten the time their items stay in reshelving can have a local system administrator update this setting with their desired value. The shortest interval available is 59 minutes as Evergreen checks the items on an hourly basis.

BC Libraries Cooperative Advisory - Cybersecurity Testing June 16-18

As part of our continuous efforts to provide secure services to our members, the BC Libraries Cooperative has engaged a cybersecurity penetration tester to assess the Co-op’s servers, networks and services. This testing will include Sitka's Evergreen, LibPress, NNELS, and bc.libraries.coop and will take place between June 16th and 18th.

While the majority of these tests should not affect normal services for members or your users please contact Support if you encounter any unexpected issues over the course of the testing.

On Wednesday June 17th the cybersecurity consultant will run some tests that may cause performance degradations to services. This part of the testing will only happen during our regularly scheduled maintenance window which is from 9:00pm PT to 12:00am PT.

During the maintenance window the Evergreen web staff client and public catalogue, LibPress websites, NNELS.ca, and bc.libraries.coop may be unavailable for periods.

Authentication of 3rd party services for Sitka libraries will continue during the maintenance window and your patrons’ access to digital resources should not be affected by this testing. The Bibliocommons catalogue will be available but patrons may be unable to login into their account and availability information may be out of date.

BC Libraries Cooperative Advisory - Database Upgrade

In preparation for the October Evergreen upgrade and to keep our systems up to date, we will be upgrading our database servers to a new version of postgres during the scheduled systems maintenance window on Sunday, June 28th

The Evergreen server will be unavailable for about three hours starting after 9:00 PM PDT on Sunday June 28th.

The web staff client and public catalogue will be unavailable, but authentication of 3rd party services will continue, and your patrons’ access to digital resources will not be affected by the migration. The Bibliocommons catalogue will be available but patrons may be unable to login into their account and availability information may be out of date.

Please note that this is a database upgrade and not an Evergreen upgrade. There will be no changes to any Evergreen functionality.

BC Libraries Cooperative Advisory - Incorrect Bibliographic Records

A number of records were mistakenly updated by a library which has resulted in records where the bibliographic information no longer matches the physical item attached to it.

Co-op Support is aware of this issue and is working to fix these records. We expect that this work will be completed by the end of the week. Please submit a ticket to Co-op Support if you encounter a record that does not match your attached holding.

BC Libraries Cooperative Support Advisory – Reminder of Change Coming to Cloning Patrons

On Monday, April 27th Co-op Support will be updating the library setting "Patron Registration: Cloned patrons get address copy" to have a default value of TRUE.

This means that by default any patrons created by clicking Save & Clone will be given a copy of the original patron's address instead of the addresses being linked.

Libraries that want patron addresses to continue to be linked need to check the library setting "Patron Registration: Cloned patrons get address copy" and ensure it is set to be FALSE.

A local system administrator at your library can update the value for this setting.

BC Libraries Cooperative Support Advisory – Change to Cloning Patrons

On Monday, April 27th Co-op Support will be updating the library setting "Patron Registration: Cloned patrons get address copy" to have a default value of TRUE.

What Does This Mean?

This means that by default any patrons created by clicking Save & Clone will be given a copy of the original patron's address instead of the addresses being linked.

This is a change from the previous default behaviour where the addresses were linked.

Why Are We Making This Change?

Linked addresses can cause issues when staff are trying to remove or update addresses on a patron's account. There are also issues when the patron account that owns the address is deleted.

Currently libraries have to opt out of using linked addresses and many do not know this is an option. This change to the default will make linked addresses a feature that libraries opt into using.

What Do You Need to Do?

Libraries should check the library setting "Patron Registration: Cloned patrons get address copy" and ensure it is set as desired.

  • If you want to continue using linked addresses the value needs to be FALSE.
  • If you do not want to use linked addresses the value needs to be TRUE.

A local system administrator at your library can update the value for this setting.

BC Libraries Cooperative Support Advisory – Best Practices for Submitting Support Tickets

Over the last several months Co-op Support has noticed an increase in tickets being submitted with crucial information missing. To help us help you faster please follow these best practices when reporting issues you encounter in Sitka's Evergreen:

  • Report issues as they occur
  • Report one issue per ticket
  • Include specifics about what you were doing when the issue occurred, including steps to reproduce if possible
  • Include any relevant patron and item barcodes, ISBNs, record IDs, staff usernames/barcodes, etc.
  • Include any relevant screenshots as .jpg or .png

BC Libraries Cooperative Support Advisory – Update on Log out Issue

As part of the Sitka Team's ongoing work to resolve the log out issue a fix was applied a couple weeks ago. We are hopeful that this fix has reduced the frequency with which library staff are unexpectedly logged out of the Evergreen staff client.

While we have seen a decrease in reports of library staff being logged out we want to make sure this is because the fix is making a difference.

If staff at your library are continuing to be unexpectedly logged out of the Evergreen staff client please report this to Co-op Support by emailing sitka@bc.libraries.coop or filling in the Support form at https://bc.libraries.coop/support/sitka/. Please let us know the date and time the logout occurred as well as what interface staff where using at the time of the log out. You can collect this information for a few days and send it into Support as a single ticket if that is easier then reporting it as it happens.

If staff at your library are seeing a significant decrease in the number of times they've been unexpectedly logged out we want to hear from you too.

We thank you in advance for any reports sent into Co-op Support on this matter. The information we gather will help us determine the next steps as we continue to work on this issue.

BC Libraries Cooperative Support Advisory – Syndetics is our new Cover Art provider

Co-op Support is happy to announce that we've successfully completed the transition to Syndetics for cover art images.

Custom cover art uploaded through Evergreen can continue to be used for cover art for non-bibliographic items such as Library of Things collections. Please do NOT upload cover art for bibliographic items.

If you encounter bibliographic records missing cover art please check and make sure the record has the relevant ISBN (020 field), ISSN (022 fields), or UPC/EAN (024 fields) in the MARC record. If the relevant identifier is missing, you can add it, save the record, and check to see if the cover art displays.

If the relevant identifiers are correct and cover art is missing or incorrect you can report this to Syndetics. Send an email to syndetics.corrections@proquest.com and make sure to include the title and relevant ISBN/UPC/ISSN/EAN. Please add this email address to your records so you have it when needed.

BC Libraries Cooperative Support Advisory – Reporter Security Improvements

BC Libraries Cooperative Support is pleased to announce we have implemented the second part of the reporter security improvements to protect patrons' Personally Identifiable Information (PII) with respect to reportable data. This is a follow up to the first part which was implemented in April 2025 and restricted report output access based on report output folder ownership and folder sharing configuration.

What is Personally Identifiable Information (PII)?

Personal information is defined by FIPPA as information about an identifiable person. Examples include, but are not limited to: name, age, address, phone number, and email address.

What does this mean for library staff running reports?

Patron PII will only display in report output if the staff member requesting the report has the appropriately scoped permissions to see the patron's information based on that staff's set of working locations and permission depth, or the patron has opted-in to be visible at such a location.

Library staff will not likely notice any changes to their report output unless they've been running reports that include information on patrons outside of their library who are not opted in.

What does it look like if your report contains PII for patrons outside of your library?

If your report output contains patron PII for patrons outside of your library, the PII will be redacted and display as a blank field.

All fields in the following database tables will be redacted as report output columns by default:

  • User
  • User Address
  • User Activity
  • User Settings
  • User Stat Cat Entries

Current features that use SMS include hold-ready-for-pickup notifications and a "Send Text" action for call numbers in the Public Catalogue. After this setting is disabled, the SMS options will no longer be offered to the user.

Notifications sent by email are unaffected by this change.

We recommend libraries notify patrons of these upcoming changes so that patrons have time to change their default notification settings

  • Add a message to appear after the user logs in to the public catalogue -

As we approach the end of the year here are some things we recommend looking at:

Renew any staff accounts that are close to expiring and close accounts for anyone no longer working at your library http://docs.libraries.coop/sitka/_closing_library_staff_accounts.html.

Acquisitions Year End - If you’re a library using the acquisitions module with a January to December fiscal year it’s time to start thinking about year end. BC Libraries Cooperative Support Advisory – Baker & Taylor is shutting down Content Café on Monday, December 15th

Co-op Support has just received notice that Baker & Taylor is shutting down Content Café on Monday, December 15th. We've already secured Syndetics as our new cover art supplier but the switchover was targeted for January.

The Syndetics team has responded with emergency cover image access and are hopeful this set up will be done next week. Once set up is complete for Evergreen we will follow up with Bibliocommons to get the cover art supplier switched on their end as well.

As of Monday cover art supplied by Content Café will no longer display in records in the staff catalogue, Evergreen's public catalogue, Bibliocommons' catalogue, and carousels for LibPress sites.

Custom cover art uploaded through Evergreen will display as normal. This can continue to be used for cover art for non-bibliographic items such as Library of Things collections. Please do NOT upload cover art for bibliographic items. Cover art for these records will be restored once Syndetics is set up with Evergreen.

BC Libraries Cooperative Support Advisory – Annual Holiday Closure

Co-op Support will be closed for the holiday break starting Thursday, December 25th. Regular support will resume Friday, January 2nd 2026.

Our ticketing system and support voicemail will NOT be monitored during this closure. Emergency telephone support is not affected by this seasonal closure. If you are unable to access Evergreen, your LibPress site is down, or authentication of 3rd party services is down please call us at 1-888-848-9250 and select option 9 to leave a voicemail detailing the issue and the on-call tech will follow up with you shortly if there is an outage. All other support inquiries will be followed up when we re-open in January.

BC Libraries Cooperative Support Advisory – Cataloguing Policy and Best Practices

Cataloguing in our shared environment has unique benefits and challenges. Changes made by one person can affect items at over 100 libraries. This is usually a good thing as everyone benefits from records that are enhanced when additional information like notes (5XX) and subject headings (6XX) are added. However, sometimes a change to a record can cause problems across Sitka.

Co-op Support would like to remind everyone of the importance of following cataloguing standards and Sitka's cataloguing policy as we have recently received some tickets identifying records that have been edited contrary to the standards and policies.

Library directors and administrators should ensure that only appropriately trained library staff have access to cataloguing functions and that their level of access matches their cataloguing comfort level.

BC Libraries Cooperative Support Advisory – Decolonizing Description Subject Heading Update

Co-op Support is pleased to announce that under guidance from the Sitka Cataloguing Working Group we are making the next change to the catalogue to update terminology.

On Wednesday, October 22nd, we will update subject headings in the Sitka catalogue currently using the term Indians of North America to instead use the term Indigenous Peoples of North America.

Indigenous Peoples of North America was chosen as it is inclusive, retains the ability for users to search broadly by “North America”, and removes the geographical subdivision challenge (where a subject heading may end up with redundant subdivisions if a $zNorth America was to be added).

The capitalization of Peoples does not affect search results and aligns with a recognition of sovereignty, as articulated in the following quote.

"The term Indigenous Peoples is used to refer to First Nations, Inuit, and Métis peoples in Canada collectively, and also to refer to Indigenous Peoples worldwide collectively. In some contexts, specific language adds useful clarity, as in the Indigenous Peoples in what is now known as Canada or Indigenous Peoples around the world. Indigenous is always an adjective. In Canada, use of the term goes like this: An Indigenous person is an individual who identifies as First Nations, Inuit, or Métis. Indigenous Peoples are the distinct societies of First Nations, Inuit, and Métis peoples in Canada. This term recognizes the cultural integrity and diversity of Indigenous Peoples. An Indigenous People is a single one of the distinct societies of First Nations, Inuit, and Métis peoples in Canada. Inuit, for example, are an Indigenous People. So are Nisga’a, Siksika, and Haudenosaunee Peoples. Indigenous people refers to individuals who identify as First Nations, Inuit, or Métis in a context where their specific identity is not at issue."

BC Libraries Cooperative Support Advisory – Canada Post and Interlibrary Connect

Canada Post workers began conducting rotating strikes last week, but mail is being delivered.

On Monday, October 20th, Co-op Support will turn Interlibrary Connect back on for the BC ILC zone.

If your library is not quite ready to process new ILC holds you can simply ignore them on your holds pull list and Evergreen will move them to another library after 24 hours.

Spruce Interlibrary Connect Zone

Because Spruce ILC is staff driven, we did not turn Spruce ILC off in Evergreen. Manitoba library staff can simply resume placing ILC holds now.

BC Libraries Cooperative Support Advisory – Canada Post Service Disruptions and Interlibrary Connect

BC Interlibrary Connect Zone

The Canadian Union of Postal Workers (CUPW) has announced all workers are on strike 'effective immediately.'

The postal strike will affect the delivery of interlibrary loans, so Co-op Support will turn off Interlibrary Connect for the entire BC ILC Zone until postal service resumes. This has been done in consultation with the BC Public Libraries Branch.

Local holds are unaffected. Patrons and staff will still be able to place holds on your items to be picked up at your library. Multi-branch libraries are still able to place local holds for transit between branches.

A banner has been added to all BC ILC Evergreen public catalogues which says “Due to the Canada Post strike, interlibrary loan requests are currently unavailable.”

Patrons and staff will not be able to place ILC holds for the duration of the postal strike. Staff should ignore any existing ILC holds on your pull list until postal service resumes.

We understand that some BC ILC libraries are connected by courier services; unfortunately, it is not possible to leave ILC open for groups within the ILC zone.

Interlibrary loans through Illume are separate from Evergreen and libraries should contact Illume separately. https://illumebc.ca/about-us/contact-us

Spruce Interlibrary Connect Zone

BC Libraries Cooperative Support Advisory – Update on SMS Notifications

Notifications sent by text/SMS will be disabled in Sitka's Evergreen on January 2, 2026.

Many of the mobile carriers have announced plans to shut down their email to SMS gateways at the end of the year. Evergreen uses the email to SMS gateway when sending text messages.

We continue to investigate alternative options for sending SMS messages with the hope that this feature can be reimplemented in the future.

Notifications sent by email are unaffected by this change.

BC Libraries Cooperative Support Advisory – My Account Timeout Function Restored

Co-op Support is pleased to announce that the My Account timeout function has been restored and updated to make it more user friendly and accessible. If a value is entered in the library setting, patrons will be automatically logged out after a period of inactivity when using My Account in your public catalogue.

The public catalogue timeout is controlled by the library setting “OPAC Inactivity Timeout (in seconds).” The value entered in this setting is how long a period of inactivity there should be before Evergreen logs the patron out of My Account. At the 3 minute mark a pop up will appear with options to continue or end the session; if no option is picked the pop up will count down to zero and then log the patron out.

The minimum value used for the library setting should be 240 seconds (4 minutes). If value less than 240 seconds is enter Evergreen will ignore it and still apply a 240 second time out.

BC Libraries Cooperative Support Advisory – Patron (Profile) Permission Group Display

Co-op Support has customized the permission tree display so that only permission groups for your library type will display in the patron registration screen. This will make it easier for staff to ensure they are picking the correct permission group when creating or editing patrons.

Libraries that already have a customized permission tree will see no change.

BC Libraries Cooperative Support Advisory – Update on SMS Notifications

We are currently investigating alternative options to continue to allow for SMS notifications. We hope to have an update on this investigation in the fall.

If there is no feasible alternative the option for patrons to receive notifications by text will be disabled for January 1, 2026.

BC Libraries Cooperative Support Advisory – Update on the Status of Sitka’s Evergreen

Sitka’s Evergreen is currently stable, but bot activity is continuing so libraries may experience further slowness.

Since Friday morning our servers have been seeing 50 to 100 times the normal amount of traffic due to a high volume of bot activity. This has led to the significant slowness and downtime seen by library staff and patrons.

Since late 2024, the Co-op's servers have been under unprecedented loads due to AI bots and crawlers harvesting publicly available data from our servers. This is an internet-wide phenomenon, but also one that has been hitting “cultural industry” sites and services especially hard as seen in recent articles such as https://library.unc.edu/news/library-it-vs-the-ai-bots/ and https://www.glamelab.org/products/are-ai-bots-knocking-cultural-heritage-offline/

In early 2025 the Co-op implemented new software to help guard against such unwanted traffic. This helped for a while, but the pattern of this crawling behaviour is changing (in part in response to the counter measures that are being deployed.) Most recently we have seen a massive uptick in harvesting being conducted by “large residential proxy networks” (https://www.zenrows.com/blog/web-scraping-proxy#why-proxies) which spread the harvesting across hundreds or thousands of IP addresses, many of which are on residential ISP networks, meaning that blanket blocks can be too drastic a measure with inadvertent consequences and thus making defence much harder.

The Co-op is rapidly exploring additional solutions to this problem as well as increasing server resources to our services to withstand these loads and keep our services reachable for their proper intended uses.

The outage was caused by a high volume of bot activity, likely from AIs scraping publicly accessible data like the public catalogue. Our techs have mitigated the high volume of activity and are continuing to work on ways to protect our servers from bots.

Sitka Templates

Library staff are reminded to clone Sitka templates into their own folders before running a report. We have already seen multiple reports run directly off the Sitka templates since the upgrade. Co-op Staff will be following up with libraries where staff are running reports directly off of Sitka templates.

If you cloned the Sitka template “Inventory - Scanned Items Count by Shelving Location” prior to May 16th you have a defective version of the template. Please delete the template and clone the new version.

Reporter Clean Up

We encourage staff to download any needed report output and delete old templates. When running one-off reports, or setting up new recurring reports, make sure you are using a template that was created on or after April 6th.

BC Libraries Cooperative Support Advisory – Evergreen Unexpectedly Logging Out

Co-op Support has received a few tickets reporting that Evergreen is still logging out unexpectedly. We were hopeful that changes in the upgrade would resolve this issue, but these reports indicate it is on-going. We recognize that this can be a frustrating issue as staff sometimes encounter it when attempting to save MARC records or report templates and they lose their work.

If any staff at your library are experiencing this issue please make sure to report it to Co-op Support through the support form on https://bc.libraries.coop/support/ or by emailing sitka@bc.libraries.coop.

In your report please include the following:

  1. When you logged into Evergreen (if known)
  2. What date/time you were logged out
  3. The username used to log in and name of the workstation
  4. What interface in the staff client was being used and what you were doing
    1. Please be as specific as possible, provide details of exactly what you were doing and at exactly what point it logged you out.

Please report every time staff are unexpectedly logged out or keep a log to send us daily or weekly.

BC Libraries Cooperative Support Advisory – Evergreen Patch Applied Successfully

Co-op Support is pleased to confirm that we have applied a patch to Evergreen that included a number of fixes for reported issues.

Libraries will now see the following changes on our live server:

  • Items Out
    • Items Out in a patron’s record should no longer be excessively slow
  • Holds
    • The queue numbers should now be correct when looking at holds within a patron’s record
    • Owning library is now an available column for the Hold Shelf, Pull List, and the Holds screens in the patron account and bibliographic record.
    • Item circulating library is now an available column is now an available column for the Hold Shelf, Pull List, and the Holds screen in the patron account.
  • Holdings View in the Bibliographic Record
    • Text for the selected row should now be readable
    • Selecting and right-clicking rows is once again possible
  • Enhanced MARC Editor*
    • Using certain keyboard shortcuts should no longer create duplicate lines
    • Editing fields with keyboard shortcuts should no longer a mouse click to access subfields
    • Using arrow keys to navigate should work better
  • Merging Records Through Record Buckets
    • The lead record will now automatically open in the staff catalogue once a merge is complete
  • Reporter
    • Selected folders on the main reporter interface will be properly de-selected when a new folder is selected
  • Public Catalogue
    • Column display issue in History of Checked Out Items has been fixed
    • Spacing issue for long titles has been resolved when editing holds
  • Acquisitions
    • Invoices will now have a link to the legacy invoice interface

BC Libraries Cooperative Support Advisory – Evergreen Patch on Sunday Night (May 11th)

On Sunday May 11th, during the regular scheduled systems maintenance window (9:00pm – 4:00am PT), we will apply a patch to Evergreen. We do not anticipate any significant disruption to services.

BC Libraries Cooperative Support Advisory – Best Practices for Emergency Closures and Potential Canada Post Job Action

Emergency Closures

There are a number of reasons why libraries may need to close temporarily without warning, including natural disasters and building issues. When this happens, you don’t want to be searching to figure out how to close down services.

As we head into the summer with its increased risk of wildfires, we recommend reviewing Sitka’s Best Practices for Temporary Library Closures - https://docs.libraries.coop/policy/_temporary_library_closures.html

This documentation outlines recommended steps for closing your library, including setting an emergency closure, turning off holds, and messaging to your patrons. Don’t forget, in the event of an emergency where staff have limited or no easy access to Evergreen Co-op Support can take care of all closure related updates for you.

Canada Post

Co-op Support is monitoring news around the current negotiations between the Canadian Union of Postal Workers and Canada Post as they work to reach a new deal before May 22nd.

In the event of another full Canada Post strike Co-op Support will take the same actions as we did in November 2024. We will turn off Interlibrary Connect for BC public libraries and add a banner to BC ILC public catalogues which states “Due to the Canada Post strike, interlibrary loan requests are currently unavailable.” We can also add a similar banner for Spruce libraries upon request.

BC Libraries Cooperative Support Advisory – Upcoming Evergreen Patch

Thank you to everyone who has reported issues since the upgrade earlier this month. We have been working to resolve the reported issues and have been monitoring bug reports in the Evergreen community for fixes.

In May we will be applying a patch during one of our regularly scheduled systems maintenance windows. This patch will include a number of fixes including a fix which should resolve the slowness in the Items Out screen. More details on the timing of the patch and the fixes it will contain will be coming soon.

We test extensively ahead of each upgrade but some bugs don’t surface until Evergreen is being used on our live servers. This is the most significant upgrade we’ve done since the upgrade to the web staff client with Evergreen 3.1 in 2018.

BC Libraries Cooperative Support Service Advisory – Monthly Recurring Reports

As we approach May 1st and the first set of monthly recurring reports in the new reporter, we want to make sure staff are prepared for the following:

Any report output you wish to share via the email link must be stored in a shared output folder.

One of the changes with the new reporter is tightening access to report output. Any report output you wish to share via the email link must be stored in a shared output folder. This is the case even if staff have reporter permissions and get the email link sent to them.

If you have recurring reports that are emailed to other staff at your library, please make sure the output folder is shared with your library. (Multi-branch libraries should share the folders at the system level.)

Most existing recurring reports should work as expected

Most existing recurring reports should continue to run without issue. However, if you get an error that a report failed to run you will need to do the following:

  1. Delete the pending recurring report output to stop the report from running next month
  2. Clone a new template for this report
  3. Set up a new recurring report and schedule its first run for May 1st. (This way output for April will be generated right away and then the report will continue to run on the first of each month.)

If you are unable to set up a new recurring report with a new template, please submit a ticket to Co-op Support and include the following information:

  • The full error message
  • Username of the staff account where the report is running
  • Folder where the report output is stored

Running New Reports

Before running new reports, please clone and use the new version of the template from the Sitka Templates folder. If the template you need does not yet exist, please submit a ticket to Co-op Support and include the name of the template. Please be aware that template requests may take 1 to 2 weeks to complete.

Troubleshooting

If you encounter issues running reports or modifying and creating templates, please contact Co-op Support.

Please ensure the applicable template folder is shared with your library so Co-op Staff can view the template in question and include the following information:

  • Username of the staff account where the template has been created
  • Folder where the template has been created
  • Name of the template in question
  • Desired result for the template (what do you want it to report on?)
  • Specific display fields or filters you are having difficulties modifying or adding
  • Links to your current report output from the template if relevant

BC Libraries Cooperative Support Service Advisory – Welcome to Evergreen 3.14

The Sitka Team has successfully upgraded to version 3.14 of the Evergreen ILS.

Sitka’s Evergreen Documentation has been updated for version 3.14 and is now available at: http://docs.libraries.coop/sitka/

Should you discover any issues, please do the following:

We would like to highlight that due to a bug, your public catalogues will no longer automatically time out after a specified period if a user has logged into My Account. Please ensure staff are aware of this as you may need to increase your monitoring of any in library public catalogue stations to ensure users are logged out. Once a fix for this issue is available, we will be applying it to our systems.

BC Libraries Cooperative Support Service Advisory – Reminder Sitka's Evergreen 3.14 Upgrade

The Evergreen 3.14 upgrade is this weekend, please review all the important information at https://bc.libraries.coop/support/sitka/evergreen-3-14-upgrade/.

The Evergreen server will be unavailable from 9:00 PM PDT Saturday April 5 to 5:00 AM PDT Monday April 7, 2025. While the Evergreen web client will be unavailable, most 3rd party resources will continue to authenticate for patrons.

If your library will be open on Sunday April 6th please note that the Offline Circulation module will not work when our servers are down. Please plan to use alternative methods for circulation tracking.

On April 7th (or April 8th if your library is closed Mondays) you MUST clear your browser cache before logging into Evergreen to ensure cached data from 3.11 is cleared: http://docs.libraries.coop/sitka/_troubleshooting.html#_clear_cache

BC Libraries Cooperative Support – Evergreen 3.14 Upgrade: New Reporter and Sitka Templates

The Evergreen 3.14 reporter has a brand-new look and feel with various improvements to the interface.

Join us April 29th and May 1st to go through the new interface. Register now for “A New Look for the Reporter: No phone booth required” - https://bc.libraries.coop/support/continuing-training/

To ensure templates work in the updated reporter we will be replacing the shared templates. All templates in the Sitka templates folder will be new. Core templates will be available on April 7th and additional templates will be added in the weeks following.

Recurring Reports

Existing recurring reports should continue to run without issue and won’t need to be recreated immediately after the upgrade.

Please contact Co-op Support if an expected recurring report does not run or returns an error.

New Reports from Sitka Templates

Before running new reports, please clone and use the new version of the template from the Sitka Templates folder. If the template you need does not yet exist, please submit a ticket to Co-op Support and include the name of the template. Please be aware that template requests may take 1 to 2 weeks to complete.

New Reports from Local Templates

If your library has modified Sitka templates we recommend cloning the new version of the original template from the Sitka Templates folder and making your modifications again.

If your library has created local templates from scratch, we recommend re-creating the local template from scratch in the new reporter.

Troubleshooting

After the upgrade if you encounter issues running reports or modifying and creating templates, please contact Co-op Support.

Please ensure the applicable template folder is shared with your library so Co-op Staff can view the template in question and include the following information:

  • Username of the staff account where the template has been created
  • Folder where the template has been created
  • Name of the template in question
  • Desired result for the template (what do you want it to report on?)
  • Specific display fields or filters you are having difficulties modifying or adding
  • Links to your current report output from the template if relevant

BC Libraries Cooperative Support Advisory – Decolonizing Description Subject Heading Update

Co-op Support is pleased to announce that under guidance from the Sitka Cataloguing Working Group we are making the next set of changes to the catalogue to update terminology.

On February 24th we will update subject headings in the Sitka catalogue that currently using the term Eskimo to use the term Inuit instead, with some exceptions.

Subject headings included in this change will have their second indicator set to 7 and a $2SITKALIST added. This indicates that these are subject headings from our local Sitka list and are not official subject headings from a source like Library of Congress or Canadian Subject Headings.

Before: 650 /0 $aEskimo life.

After: 650 /7 $aInuit life. $2SITKALIST

Bibliographic records that use terms on the exclusion list will not have their subject headings updated at this time as a direct replacement of Eskimo with Inuit is not appropriate for these headings.

Cataloguers are asked not to reintroduce the term Eskimo to the catalogue when cataloguing new items but to use Inuit or other terms as appropriate instead.

BC Libraries Cooperative Support Advisory – Sitka’s Evergreen Email Notifications – Issue resolved

Email notifications are now sending as expected. The missing notices from Feb 16th - 18th have all been sent too.

Sitka’s Evergreen email notifications were generated as expected but they were blocked from being sent by our service provider.

Our service provider noticed an IP that appeared to be spamming our mailserver. They blocked the IP, but it was an IP that we use to send mail notifications. As a result, the network connection was disrupted until we were able to contact the provider and get direction to avoid this scenario in the future.

We continue to work with them to ensure that the problem remains fixed. We apologize for the inconvenience and thank you for your patience as we resolved this issue.

BC Libraries Cooperative Support Advisory – Sitka’s Evergreen Email Notifications

Sitka’s Evergreen email notifications were not sent over the weekend. This includes overdue circulation notices, hold ready for pickup notices, password reset notices, report completion notifications and paper-overdue notices.

Further updates will be posted as we have more information on when the email notifications will be sent.

BC Libraries Cooperative Support Advisory - Maintaining Your Library Staff Accounts

Co-op Support has seen an increase in tickets relating to library staff accounts and so we want to share some reminders and tips with everyone.

Account Passwords

As long as your account is not expired and includes an email you can reset your staff password through your library’s public catalogue.

Please don’t send us your passwords. We will never ask for them and we don’t need them to troubleshoot issues.

Access to the Reporter

Staff needing to run reports or view report output must fill in a reporter privacy waiver.

We do not grant reporter permissions to generic accounts.

If you have access to run or view reports do not let anyone else use your account. Allowing others to use your account violates the reporter privacy waiver you signed to get reporter permissions.

Maintaining Staff Accounts

Libraries should regularly review their staff accounts to ensure only current staff have access to Evergreen.

BC Libraries Cooperative Support Advisory - Annual Statistics for BC Public Libraries - Important Update

We discovered an incorrect date in of one of the reports used to generate annual statistics for BC single branch libraries. This error caused totals to be higher than they should have been.

The spreadsheets have been updated. If you have already downloaded your spreadsheet please re-download it to ensure you have the correct numbers. Find and download your spreadsheet here: https://bc.libraries.coop/support/sitka/llb-reports/

Spreadsheets for BC multi-branch libraries and all Manitoba libraries are unaffected.

BC Libraries Cooperative Support Advisory – Decolonizing Description Subject Heading Update

BC Libraries Cooperative Development Advisory - Sitka's Evergreen Annual Upgrade

BC Libraries Co-op Support is pleased to announce that we will upgrade Sitka's Evergreen in April 2025.

We expect the Evergreen server will be unavailable, from 9:00 PM PDT Saturday April 5 to 5:00 AM PDT Monday April 7, 2025.

Patrons will still be able to access electronic resources while Evergreen is being upgraded. The web staff client and public catalogue will be unavailable, but authentication of 3rd party services will continue, and your patrons’ access to digital resources will not be affected by the upgrade.

Staff will be unable to login during the posted upgrade hours.

BC Libraries Cooperative Support Advisory – Re-Run Reports Run Between 9:00am and 10:30am PT on January 15th

Any reports that ran between 9:00am and 10:30am PT today should be re-run manually. This applies both to reports run manually by library staff and recurring reports run automatically by Evergreen.

Libraries can use the report template “Reports Run In Specified Time Period by Specified Library” to see what reports ran for their library today. BC Libraries Cooperative Support Advisory – Sitka’s Evergreen Service restored

Sitka's Evergreen services have been restored as of 12:50pm PT.

The outage was caused by a hardware switch failure. The affected hardware has been replaced and services are now restored.

You should now be able to log in and use the system as expected; however, if you experience any further issues please let us know.

BC Libraries Cooperative Support Advisory - Sitka’s Evergreen Outage 01/15/2025

Evergreen is currently experiencing server issues. Techs are continuing to work to restore services as soon as possible.

While Evergreen is down staff and patrons are redirected to a message indicating that the catalogue is temporarily unavailable. Patrons are not able to authenticate 3rd party services, such as Overdrive, which authenticate against Evergreen.

We will continue to post updates as we have more information.
